Federal Work Study Requirement
Employer Eligibility/Responsibility

To be eligible to participate in the Federal Work Study Program (FWS) at The University of Arizona, an off-campus organization must comply with the following:

  1. If the agency is a non-profit organization, it must submit IRS documentation to the College of Law, verifying its tax-exempt status.
  2. For new agencies, a standardized Agreement, signed by the representative of the agency and representatives of The University of Arizona, must be on file with the University. The agreement is not valid until signed by all parties.
  3. A Job Description Form must be completed for each category of student position and returned to the College of Law. More than one student may be employed under one job description/job identification number. The forms must be updated at least each fiscal year.
  4. Employers may hire students who have been issued a valid Federal Work Study (FWS) Authorization Form by the Office of Student Financial Aid at the University. Employers will receive instructions about how to complete and return a portion of the form for University files after the student has begun work.
  5. The FWS Authorization Form will indicate the first day in which students may begin work and the date by which they must end employment. Students must be paid for all hours worked. Any hours worked beyond the student’s FWS Eligibility award limit or outside the dates covered by the Agreement and/or the student’s FWS Authorization Form must be paid 100% by the employer. FWS does not reimburse for holidays, sick or vacation time.
  6. Employment of students can neither displace regular staff positions, nor impair existing contracts for service. Student employment must comply with the University’s non-discrimination policy.
  7. The employer will be responsible for initially paying 100% of the student’s gross wages. Employers then submit a monthly invoice and time sheets to the University for reimbursement of a portion of the student’s gross wages by the 10th business day of the following month.
